Free Line Sheet Template (Excel)

A printable line sheet with photo spaces, automatic margin and markup, a terms block and a buyer order form that fills itself in.

By Apparel Search · Updated October 2026

A line sheet is the document wholesale buyers use to review your styles and write an order. This free Excel template gives you two tabs. Line Sheet has a header for your brand and contact details, a row per style with space for a photo, fabric, colors, sizes, pack size, wholesale and suggested retail prices, delivery and notes, plus a terms block. It works out the retailer margin and markup for each style. Order Form picks up each style and price from the Line Sheet, so a buyer only types a color and the quantity for each size, and it totals the units and the value and checks a minimum order. The first row is an example you can overwrite.

Opens in Microsoft Excel, and can also be opened in Google Sheets or LibreOffice, though some formatting may differ. The Order Form tab is protected without a password so formulas are not overwritten by accident (Review > Unprotect Sheet to customize). The Line Sheet tab is left unprotected so you can add photos.

1. Fill in the brand and terms details

At the top of the Line Sheet tab, enter your brand, the collection or season, contact details and website. Add the currency, how long the prices are valid and your minimum order. Scroll below the style rows and fill in the Terms block: payment terms, shipping, delivery windows, returns and cancellations and the order deadline. Terms can have legal effect, so have them reviewed by a qualified professional.

2. Add one style per row

Replace the example row. For each style give a style number, name, a one or two sentence description, the fabric, the colors, the size range and the pack size if you sell in packs. Keep descriptions short and consistent, so the sheet is easy to scan. Fiber content and care labeling rules differ by market, so check them separately.

3. Add the photos

Click a cell in the Photo column and choose Insert > Pictures. Resize each picture to fit its row, using the same size and angle for every style. Clean photos on a plain background look the most professional. This tab is deliberately left unprotected so you can insert and move pictures.

4. Set wholesale and suggested retail prices

Enter your wholesale price and the suggested retail price. The sheet shows the retailer margin, which is (retail minus wholesale) divided by retail, and the markup, which is retail divided by wholesale. Use them to check that a store can earn a sensible margin, because stores that cannot make money on a style usually will not reorder it.

5. Save it as a PDF to send

Choose File > Print and save or print as a PDF. The page is set to landscape and the header row repeats on every page. Check the print preview to make sure no style is cut off. A PDF opens the same on every device, which is why buyers prefer it.

6. Use the Order Form for buyers

Send buyers the Order Form tab as an Excel file or PDF. Styles, names and wholesale prices fill in automatically from the Line Sheet. The buyer enters a color and quantities by size, and the form totals units and value and shows whether the minimum order value is met. Treat it as a way to record an order. Terms of sale are agreed separately.

Questions

Is this line sheet template free?

Yes. It is free to use in your own business. Please do not sell or republish the file as your own.

How do I add photos?

Click a cell in the Photo column and choose Insert, then Pictures. Resize each picture to fit its row. The Line Sheet tab is unprotected so pictures can be added and moved.

What are retailer margin and markup?

Retailer margin is (suggested retail price minus wholesale price) divided by the suggested retail price. Markup is the suggested retail price divided by the wholesale price, so a markup of 2.0x means retail is double wholesale.

Can I add more than 20 styles?

Unprotect the Order Form tab with Review, Unprotect Sheet, and copy the last row down on both tabs. The Line Sheet tab is already unprotected. Make sure the row numbers line up on both tabs.

Is the order form a contract?

No. It records what a buyer wants to order. Terms of sale are agreed separately and may have legal effect, so have them reviewed by a qualified professional.
